Password Security Upgrade

eAccounts has made some significant changes in respect to passwords.

a) Passwords must now be a minimum of 5 characters.
b) Passwords must contain at least one letter (A-Z) and at least one number (0-9)

These changes help to make it much harder for others to try an break you and your staffs passwords.

On the [Passwords & Access] button (under Access, Logs & Processes), that managers should have access to, you will find a new column called “Password Security” It will either say OK or have a warning in red for all your staff that the system deems to have poor security.

Finally, every four days those users with poor passwords will find a extra warning on login reminding them that their password is not particularly secure.

 

 

SSL Only Option For Your Business

Many users login to eAccounts servers using SSL connections, up until now this has mostly been optional. We now have a new feature that forces all of your staff to only log in using SSL.

What is SSL ? SSL Stands for “Secure Socket Layer” and basically encrypts all your data between your terminal and our server. This prevents third party snoopers intercepting the data. All Banks uses this when you login on online.

Incidentally, if you click on the padlock symbol it will display our SSL Certification.

How can I tell if I am connected using SSL ? Firstly the address bar will start with https:// instead of http:// on all eAccounts program pages. On most browsers a Padlock symbol will appear either on the top line or bottom line of the browser window.

Yes I want my business to be SSL secure.

a) Ensure all of your staff know how to login using https:// - The properties of the eAccounts login shortcut will possibly need updating.

b) Call your eAccounts representative and have us switch the function on that only accepts SSL access to your business.

 

 

Last Sale Analysis

Under Stock reports there is a new report called “Last Sale Analysis” this report allows you to analysie in many forms which customers are either buying or not buying certain products. You can specify a Product or Stock Group and then review the dates of last sale for the customers.

 

 

New Stock Alias Options

Many businesses use the Stock Alias function. This feature links one “pseudo product” to another by way of a factor.

An example is beer, if you normally buy and sell beer in boxes of a dozen but sometimes want to sell it singularly over the counter. eAccounts allows you to define a product for the single can and connect to an alias (The 12 pack) The big feature here is that as you sell more than 12 single cans (which is generally sold at a price much greater than 1/12 of the pack) then the stock system automatically deducts 1 pack from the pack product and adds 12 cans to the can product. This is all documented in the help system.

There are several new features :

a) Each night eAccounts tests the validity of all Stock Aliases ie
  i. The Stock Alias cannot link to another Stock Alias
  ii. The Stock Alias must link to an existing product.
If errors occur then a warning will show in the Stock Master.

b) There is now a new report under stock reports that will show all stock that are Stock Aliases. This new report also shows the Alias Factor and if there are any errors associated with this product.

c) Lastly the costs associated with a Stock Alias (ie a single can of beer) now automatically get calculated each night as being the same as the stock item its linked to (12 pack) divided by the alias factor (ie 12 in this example)

 

 

Dashboard

The Statistics screen on the main menu has now been renamed “Dashboard” this falls in line with wording used by large industry players like Microsoft.

 

 

Fine Tuning Kit Maintenance

Stock Kits have also been fine tuned with a few new features.

a) When displaying Kits (Under Maintain Kits) there is a new field for errors, eAccounts now detects many errors to do with kits.

b) You cannot define a Manufacturing kit (kit Type3) or a Deduct On Invoice Kit (Type=2) unless these Kits are first defined on the Stock Master.

c) If the kit is a Manufacture Kit, then there is a field called Last Manufactured which now shows the date this kit was last used.

 

 

GST Report

The GST Report has also been recently tweaked to show a new column for “Work In Progress”

This tidies up the GST return report used for a number of customers who use or “Work In Progress” Job Costing system.

 

 

Creditors Payments

The Creditor system has had an overhaul in respect to how it deals with paying creditors. Previously the system forced you to define a bank that a creditor invoice was to pay from when you loaded the invoice. The system now allows you to define the bank a creditors batch will be paid from. This makes the creditors system much more flexible with customers with multiple bank accounts.
