18th December 2007 - Newsletter 154

Merry Christmas to all.
See our Christmas hours at the bottom of this newsletter.

Please read and distribute amongst your staff.

Shopping Cart Image Sizes

A number of you are running Web Shopping Baskets with pretty pictures of the products you sell. We allow you to have both a small(Thumbnail) and a large image. Historically when you click on a product to show t he long description, text and specify the qty it showed the large image.

This works ok if your large image is not huge ie takes up the whole screen. A new feature we have added is that the shopping b asket configuration can now be configured so the large image can popup in a separate window.  This allows your large image associated with a product to now be any size you like.

If you are interested in this feature ask us or your eAccounts representative for a demo or have us switch this feature on.

Labelling Standing Journals in the GL

When you define standing journals in the GL you can now assign a label to them. This makes it easier to find them when you list them and it also passes that label across to the GL Batch when these standing journals get invoked automatically.

Stock Period Summary

Under Stock Enquiry there is a new feature, there is a new button called [ Qty (By Pd) ]  this button when clicked will show you the totals for :

Opening

Received

Adjusted

Manufactured

Transferred Sales

On Hand

Committed

Backorders

On Hire

Free

On Order

On a period by Period basis.

This allows you at a glance to see trends, which months we processed adjustments in,  comparing received on a month by month against committed stock etc.

This new feature will start collecting this powerful information at the end of each rollover (end of each month) and will start doing so from the end of this month onwards.

Group by Supplier Under Supplier Enquiry

Under Supplier Enquiry (Stock System) a new button has been introduced called [Product Sales] this button will allow you to drill down and display all groups where sales were made with stock from this supplier.

When you click on a group it the displays all products sold under that group for that supplier. When you click on a product it  shows all sales (in reverse order) for that product.

Clicking on a particular product shows all invoice transactions and finally if you click on an invoice it displays t he invoice.

This powerful set of drill downs has many uses, one in particular is when you are looking for a specific sale for a specific  product.

Please note : This new drill down feature will only start collating data from mid December onwards.

Numerical and Code Fields

We have now, I think, converted almost every date field in the system to have a popup calendar associated with it (discussed in the last newsletter) We are now beginning the task of locking down (using Javascript) all “CODE” fields so visually you cannot enter lower case characters onscreen.

Same goes for numerical fields like “Start Invoice Number” you will only be able to enter numbers.

You can see these new features in the “Current Orders” report (Under order processing).

Try entering “ABD” in the Start Invoice field.

Try specifying a lowercase Debtor Code

Security & Port 80

eAccounts has just had another security review with an outside consultant and are now setting in place our plans for what to do in 2008. Security is something we take seriously, and its an ever changing place out there in web world.  We don’t want to tell everyone what we are doing in any detail but  be assured security is taken seriously and being constantly reviewed both by us in house and by peers.

One major change I can tell you is that we are going in the first quarter of 2008 make all our routers, firewalls and servers only accept https connections (SSL) We have done this on one server now and will convert them all early next year. Before we do this we will need to communicate with all users to ensure they (and their staff) have their browser defaults for logging into eAccounts set correctly to use SSL .

What this means is that your will type in https://www instead of http://www  as you do now.

Christmas Hours

eAccounts is taking a Christmas break.

We will close our offices in Newmarket on the 21st of December and wont open again until Monday the 7th of Jan 2008.

For emergencies we remind all businesses that we have two emergency numbers, 021 741 274  (On call staff) 021 921 188 (Neil Harker)

If you have a crisis email neil@eaccounts.co.nz  or phone one of the two cell phone numbers if you need immediate help.

Christmas Day !

We may have the servers down on Christmas day for a full reindex of all data. This hasn’t been done for nearly a year. Please be patient if the servers tell you they are “Down For Maintenance”  this is a necessary annual process we cannot avoid.

After hours (emergencies only) Ph Neil on 021 921188 or email neil@eaccounts.co.nz
