Processing Journals
eAccounts has modified the rules concerning access to creating journals in the Debtors system.
You now require specific access rights to do this. We or your eAccounts representitive can allocate you those rights.
The reason we have done this is to help prevent fraud in your business by reducing the number of staff who have access to journal entries.
Load But Cannot Post
eAccounts also has new a feature allowing you to set a user up so they can load debtor payments but not post them. This allows you to have a junior staff member load receipts but then you can check them before posting.
By default everyone with access to transactions can post. If you want that rule changed for some of your staff please contact your eAccounts representative.
Who Reopened an Account ?
Almost every business has been through this: A customers account gets opened and goods are sold. You then ask your staff who and why did the account status get changed without authority. Everybody says “Not Me”.
Now every time a customers account is opened, has status changed, or the credit limit is altered these changes are recorded as to who did it and when.
You can view these changes in Customer Enquiry under the button “Status Changes”.
Soon any “Temporary Status Changes” executed in ePos will also be tracked back into this file.
Source of New Customer
Many of you are now using the Customer Source field to record things like where your new customers come from. ie. Newspaper Ads, Radio advertising etc. Until now it always defaulted to the first source and many staff just save new customers without filling it in. You can now define a source of “0” (under maintain sources) and the system will not let them save a new customer without explicitly specifying a valid option.
How Busy Are My Staff ?
eAccounts has added a powerful new feature under Statistics. You will see there is a new button called “How Busy”
This gives you the option to look at workflow through your business using two methods;
1. By effectively counting the time users are actually using eAccounts by counting key clicks per hour per day.
2. By counting invoices per hour per day
In both cases you can drill down to display all staff.
These stats are still a work in progress as it does not include processing done in ePos (but does count their invoices) and the invoices are counted when they are confirmed, not when raised. These issues will be corrected over the next few weeks.
This data is powerful because you can now roster staff on when there is heavy invoicing (if you are retailer) but it also gives you a method of quantifying the amount of work each staff member does for comparison.
