New Servers At eAccounts

eAccounts has been on a spending spree. Three new servers have been purchased and installed in the past month.

We work hard to ensure all of our servers are replaced every three years. This guarantees reliability within our network.


Goods In Transit Between Branches

We have added an awesome new set of options for those of you with multiple stock branches. These new features now
streamline processing stock between branches as well as dramatically reducing the opportunity for in house theft during the process.

Whenever you post stock as a transfer between branches it now automatically produces a "Goods Transit Requisition" document in duplicate. You keep one copy, the other is sent with the goods to the other branch.

Stock enquiry will show those goods as being "In Transit"

When the other branch receives the goods they sign off the document in eAccounts. There is a new program option to receive stock in transit under the Stock Transactions menu. This simply involves keying in the transit document number.

If the receiving Branch does not acknowledge receipt of goods the system places a warning on the stock menu after two days. The "Reprint Stock Batch List" shows who received the transfer of stock at the destination branch.

There is a new report on the stock reports menu for "Goods In Transit"



Job Costing

eAccounts is proud to announce a major overhaul of its Job Costing System.

The system now fully integrates with the General Ledger and the Sales Analysis systems to ensure that Work In Progress is fully managed. Discrepancies in margins caused by trying to process work in progress through normal invoicing is now a thing of the past.

eAccounts now continuously manages the job process, it makes it easy to process goods and services used for the job. You can then write up progress payment request invoices to the customer. Throughout this process the sales margins, stock on hand etc, are kept 100% accurate. This is done by holding any differences against a "Work In Progress" account in your general ledger.

This is a huge topic and you will find a help topic in our system with detailed instructions on how it works and how to configure it. Go to our help system and search for "Job Costing"

At the end of any financial period there is no longer the need to calculate what the value of Work In Progress is, as the Balance Sheet will already have this information updated. This will help keep your accountant happy.


AutoRun Reports

eAccounts has introduced another major feature. The AutoRun feature will allow you to define reports and then specify when you want them to be automatically run.

Examples might be :
- Have a report of all stock below minimum quantity level automatically printed daily.
- Have a report of all customers with an incomplete orders with a "required date" of today printed out each morning.
- Have a report of all salespersons sales automatically printed weekly each Monday morning.
- All customers exceeding credit terms automatically printed on the last day of the month.

Not all reports are currently configured with AutoRun. We have done the ones we believe will be most requested. These include :

- All Stock Reports
- Salespersons Reports
- Current Orders (Unfinished Orders)
- Customer Trial Balance

The AutoRun feature gives the following schedule options :
- Daily at 6am
- Monday at 6am
- First day of the month
- Last day of the month

Other time options will be added as requested.
