Crickey ! I have just noticed it was January when we had our last newsletter. I have been extremely busy finishing off my new house in Drury. Be assured I am now back into full production of creating new features to keep eAccounts well ahead of the pack.


New Staff

We welcome our newest staff member Brent De Carteret he will spend the first few months working in the background supporting Mark, Mike and myself. Please be patient with him if he answers a call as he is new and training on the eAccounts network will take months to learn.




Dealing With Quotes in eAccounts

We have added some fantastic new features in eAccounts to manage quotes.

a) Optionally under the confirm page you can now enter a follow-up date (If you are raising a quote)
b) Under future Sales (See topic below) in statistics you can view all quotes that need following up.
c) Under “current orders” on the order processing menu you can also report all quotes for a range of followup dates.

And then at any time…..

d) You can go back into the quote and do one of the following :
    i) Update the follow-up date so it doesn’t show on the follow-up reports.
    ii) Mark the quote as “Lost Sale”
    iii) Mark the quote as “Lost Sale (Duplicate)”
    iv) Mark the quote as “Sale Made On Different Order #”
    v) Duplicate (Sale Occurred)

e) The “Lost Sale” and “Sale Made On Different Order #” will then automatically transfer the quote into our quote history system and therefore not clutter up the current orders file.

f) There is a new data file for reporting salesperson statistics to do with these quotes. Quotes raised and lost are now recorded against each salesperson on a month by month basis the quotes raised and lost. Over the next week you will see new options under salesperson reports allowing you to report the “Hit Rate” your sales staff are achieving.

Please note :
Often several quotes are raised for the same job listing different options. If the quote is a “Lost Sale” then it is important to mark the first quote as lost and the others as “Lost Sale (Duplicate)” so that only one "Lost Sale" is counted in statistics.

The other tricky scenario is if you raise a quote but instead of converting the quote to a sales order you (or someone else) start a new order for that quoted job. You will need to mark the original quote as “Sale Made On Different Order” so that the quote moves to history but is still recorded as a successful quote. If there were several original quotes, use the second duplicate option to finalise the other quotes.

g) There will shortly be options where quotes can be emailed to sales staff when they exceed the follow-up dates.

Dates Required On Sales Orders In eAccounts

Some businesses load sales orders into the system where the goods and/or services need to be provided on a certain day.

On the confirm screen you can optionally have the “Date Required” field showing. This will allow you staff to record the date the “Carpet is to be laid” or the day the “Roof Trusses” need to be delivered etc.

The “Current Orders Report” on the order processing menu now allows you to run a report of orders between a range of dates required.

Future Sales

Under statistics there is now a new column called “Future Sales”. This column shows all invoices and packing slips in eAccounts and ePOS that are not updated. When you click on the word “EXPAND” it breaks the value down into several parts as listed below:

Quotes (not Exceeding Follow-up Date) (See topic above)
Quotes (Exceeding Follow-up Date) (See topic above)
Sales On Hold in ePos
Packing Slips in ePos
Invoices On Hold in eAccounts
Packing Slips in eAccounts

Clicking on the appropriate line will display all invoices making up that value.

This is a powerful feature for allowing management to monitor which packing slips need updating or otherwise require attention, particularly as you reach the end of a financial month.



New Debtor Transactions Report

There is a new option on the debtors reports menu called “Transactions Between Dates”. This allows you to report all transactions for one or all customers over a period of time.



Manufacturing System Supports Serialised Stock

We now have many customers using our new manufacturing system for the manufacture of products they sell made from raw materials in their stock systems.

We have now expanded this to support full serialised stock tracking (this was no easy task !)

You can now take multiple raw materials (some with serial numbers) and manufacture products that have serial numbers. eAccounts now tracks all the serial numbers, recording where the serial numbers on the raw materials went (ie which items were manufactured using them)



ePos v702.20 (onwards)

Over the past two months we have put a massive amount of investment into our point of sale system. The last newsletter (149) touched on some of the features.

The latest version significantly simplifies the communications process by eliminating two third-party products we were using. This means ePOS itself now directly communicates with eAccounts via its own proprietary communications. This makes the invoice updating process much faster and more reliable.

The second improvement is that the credit limit test now takes into consideration the current invoice when you go to confirm an invoice. Previously it stopped you confirming a sale by checking only the credit limit against the current balance.

The new test is if the "Current Balance" + "Current Invoice" is greater then the "Credit Limit" then the sale is restricted.

An added advantage is that an invoice can be allowed to update by getting a supervisor to enter a password in ePOS that will allow that one invoice to update even though the invoice puts the balance over the credit limit.
