Yes we know the last newsletter was only three days ago. The previous newsletter last week was about changes to the GL, these were so important that we felt in warranted its own newsletter. Here is some more exciting changes that continue to make eAccounts one of the most powerful integrated accounting systems on the market today.



Are you contemplating changing your ISP ?

The ISP market (who you pay your Internet connection fee to) has become very competitive and there are some great deals often offering faster connections for a lesser fee. We have no preference and are happy for you to go and seek the best deal you can. But …..

Please let us know in advance. Several times in the past month we have received complaints about customer internet or printers not working. Investigations by our staff finds the fault is that the customer has signed up for a new internet supplier and have not told us. Two things often happen.

a) The customer is left with no internet because the old connection is cancelled before the next one is put in place.
b) Printers stop working because the fixed IP address we direct print jobs to has changed.

Please talk with our staff in advance to ensure your changeover happens smoothly.

 

Four User Definable Category Fields

We have just added four user definable categories to our Stock System. This allows users to “Categorise” their stock for other reporting purposes.

The names of these four categories can be set to be anything you choose, they can be used like having 4 more groups associated with each stock item.

Examples of where you may choose to use these is to record.

Stock Colors
Stock Fire Rating Code
Stock Certification
Stock Country Of Origin

The options to use these four categories are endless.

You can use these Categories as selection criteria under Stock reports and Price lists.

 

Non Reducing – Miscellaneous Type

Under Stock Maintenance the Stock types have been further split with the introduction of a new type called “Miscellaneous”. Previously to have a stock code for Stock you buy in as a “one off” for a client ie (not defined in our stock system) was setup under “Non Reducing” now this type of stock has its own type.

At the bottom of the Stock Master you will not there is a Help topic called ‘Understanding Stock Types” that now explains all 9 types.

“Miscellaneous” Do not store Supplier Stock Links, but if you order stock and specify the Suppliers # it will show on the Goods order to the supplier (previously didn’t)

“Non Reducing” Will allow you to save “Supplier Stock Links” but prevents you from ordering them.

 

New Stock Report - Miscellaneous

Under Stock reports there is a report option to report all stock that is “Miscellaneous” and separately all stock that is “Non Reducing”

 

Goods Required Report On Receiving Stock.

When ordering stock you can optionally tag a Customer Invoice to a Supplier Order. When those goods come in from your suppliers you can now force an optional report (even if you have your Stock Batches set to don’t print) to print a list of customers waiting for those goods on that batch.

Up until now the report was only onscreen. It also reports customer backorders for incoming products. This feature means there is no excuse for incoming stock to accidentally go on the shelf when it is actually being waited for by clients.



GL Integrity Checker Improvements.

If the GL Menu warns you of integrity errors in this years or last years data you can run the integrity checker for the specific year (it needs to be just run) then under the Reconstruct menu you can display more precisely what groups and/or periods it found the errors in. When you display the errors you can then reconstruct the particular periods that have the problems.



GL Source Field On Batch & GST Summaries.

GL Source field that shows on the GL Batch screen and also on the GST Report now shows more useful information. It now shows not only the source being Stock, Debtors or Creditors but gives a hint as to what type of transactions ie

Stock Invoices Received, Stock PSlips Received, Sales Invoices etc



GL Type Field against each GL Transaction.

GL Type field that shows against each transaction in the GL (ie When you display a Batch or GST Transaction Batch) has now been greatly expanded to indicate more detail about the transaction.

ie Stock Inv Received For PSlip, Invoice Sales, Invoice Costs, Debtor Receipt, Debtor Adjustment etc



Tax Exempt Creditors

Under Maintain Creditors you can now set a Creditor to be Tax Exempt. Up until now a Creditor is set as being exempt if the GL Code attached to the Creditor is exempt. This rule fails in some instances so now the rule is defined against the Creditor.

 

Creditors Bulk Run

The Creditors “Bulk Run” option which allows you to split your paying of your creditors into 6 “runs” can now have names for these.

Under Creditor Utilities you may now give these meaningful names. Previously they were called “Run 1”, Run 2” etc

The Creditors Trial Balance can also now be printed or displayed in these runs as well.

 

Nicknames

In the Debtor Master there is a field called “Nicknames” previously it was called “Superfind” this field allows you to better with customers that are “individuals” (as opposed to being “Companies”). We need to have the “Account Name” field say “Mr F. Dagg” for the purposes of printing on the invoices and Statements etc. But for searching for the customer in Account enquiry or looking up an invoice we need to be able to type “FRED” and find “Mr Fred Dagg”

A further enhancement is that you can add more than one nickname into this powerful field ie “FRED,DAGG,JENNY” will allow you to search for anyone of those first names including Fred’s wife Jenny !



Debtor Status Change Feature

There is a new feature in the Debtors system in respect to users rights.

You can now have a user defined as having access to Debtors Maintenance but prevent your staff changing account status or Credit limits. It also stops them creating new debtors. This powerful feature means they can take care of changes of address and contact details but are unable to override the “Account Closed” status or increase the Credit limit without your authorisation.
