Website Changes And Some Server Updates
We have just done some significant changes to the structure of our network, these changes affected how a few customers log in and our of their shopping baskets. These changes went exceeding smoothly given the complexity.
We work very hard to keep our systems documented and part of these changes makes our network appear more consistent and logical when analysed by an outsider. All this helps with the ultimate reliability and stability of our systems.
Auckland's Power Crisis
Auckland lost power to most of the city on the 11th. This meant we had no power in our Newmarket offices but all our servers are protected in the data center in Albany with half a million dollars worth of backup batteries, ups's and Diesel Generators. Total down time during the day... zero!
Goodbye to Darron!
Regretfully, Darron leaves us for the big OE on 30 June. His non-refundable plane tickets for London have been purchased, so there is not much I can do to stop him.
Welcome to Mike Moon
Taking over from Darron is Mike Moon. He has now been with us a couple of weeks and is getting a good handle on our systems and setup.
Placing Creditors On Hold When Loading
When loading Creditor Transactions you can now put an invoice on hold directly. Previously you had to load it then go into Creditor Enquiry to flag the invoice as "On Hold".
Min / Max Stock Qty Calculations
We have now created an automatic process for the stock system to dynamically manage the Min & Max Stock On Hand that should be held against a stock item.
Essentially you can create Min/Max Rules for your Stock (up to 20 rules) and apply them to your stock groups. These rules can take into consideration seasonal fluctuations as well as the moving average over the past 3,6 or 12 months. It also takes into consideration how long your suppliers normally take to make a delivery from the time you raise an order.
Once setup the system will re-evaluate your Min & Max Stock Qty's at midnight each night.
You can read more about it in help. Keyword: MIN/MAX
Two default rules have been predefined in your business for you to start with.
Internal Charging
We have had this "Partially" working for sometime. This has now been greatly improved;
What this allows you to do is define a debtor for Internal expenses and then allow you to invoice that account when stock is taken form the Shop Floor.
The result of this invoice will be:
- There is now a consistent rule for any goods leaving the business.
- The invoice doesn't update Debtors
- The GL Dr's General Expenses etc and Credits Stock On Hand
- The Stock taken for internal use shows as an Adjustment (not a sale)
- The invoice does not show as a sale in any of the financial reports i.e. Stock Groups, Salesperson Sales etc.
You can define as many of these as you like. I.e.
- General Warehouse Expenses
- Transport Expenses
- Yard Expenses etc
You can read more about it in help. Keyword: INTERNAL
If you would like to use this great feature please call or email Mike for help setting up.
Help System Updated
Mike, as part of his learning curve in joining eAccounts has been to update number of 'Help Topics'. We have also improved the 'Key Word' search system, so it works better at finding the topic you are looking for.
Still, far too many people call us for help on topics that are already well documented.
New Stock Report Variables
The Stock Report program is constantly improving and its encouraging to see the ability of allowing users to define their own stock reports is being used extensively by a number of clients.
We have now added a number of new variables you can use in your stock reports;
| EXCHANGERATE |
The Exchange Rate currently used on this stock item |
| OPERATOR 1 - 8 |
The Operator used to Calculate The Selling Price (1 – 8) i.e. Markup, Margin, Discount etc |
| PERCENT 1 - 8 |
The Percentage used by the Operator in calculating Selling Price (1 – 8) |
