There has been a major announcement from Bill Gates of Microsoft.
"Microsoft's announcement this week of its plan to move software off the hard drive and on to the internet is being seen as a major paradigm shift in the way businesses will operate."
eAccounts recognized the benefits of this business model over 4 years ago and it is interesting to note that Microsoft is now changing to the same business model. We still believe we are the only credible web-based accounting system in the world and are waiting on the call from Bill Gates.
Help
Still many users ring us for help with subjects that are well documented in our help system. Please refer to the help topics before calling the support office as many of the answers you are looking for may already be covered.
Barcodes
The way we handle Barcodes has significantly changed.
Previously we stored the Barcode against the stock item but we have found that some customers will purchase the same product from multiple suppliers that have different Barcodes. Perhaps the suppliers re-package a product and put on their own Barcode before shipping.
To get around this, eAccounts now stores the Barcodes under Supplier Links - accessible from Stock > Maintenance > Stock (Financial).
Under Stock links we now store:
The Suppliers that supply a particular product.
The Suppliers product number.
The Cost price each supplier supplies that product to us at.
and now...
The Barcode the supplier supplies that product to us with.
Incidentally, eAccounts also supports the opposite problem, where multiple products have the same barcode.
Stock Links
Under Supplier links we also now record which Supplier is the Primary supplier for any given product. This is to be used to allow staff to decide which supplier they should be purchasing a product form.
Stock Reports
If you haven't already noticed, the Stock reports have had a major overhaul. This has been long overdue and brings in a lot of new features plus fixes up some anomalies that we had before.
- The reports handle Branch reporting better.
- The screen subtotaling works better.
- The system now calculates the amount of data you have before you select to print.
- The system now allows you to optionally have line breaks at each 5 lines – this makes printed reports easier to read.
- All reports are now consistent across the Onscreen, Printed, CSV & PDF formats.
And finally the best feature is...
You can now create your own stock reports!
This means if you don't like a certain stock report you can create your own report. Under the stock Maintenance menu you will see a new option called "Define Stock Reports" If you want to use this it is advisable to start by reading the Help topic on creating Stock reports (Keyword : CREATE)
Salesperson Commission
We have just overhauled the Salesperson Commission Calculating System. And have added a couple of new features:
Commission Threshold
This is the amount of $$$ the salesperson must achieve before any Commission is payable.
The House Cut
This is the amount of money deducted from the Commission from that salesperson for their share in the office running expenses.
These two new features are settable along with the commission % against each salesperson and naturally can be different for each salesperson.
Please note there are currently 6 methods of calculating commission available to your business.
- % Of Sale, At Invoice, excl Tax, percentage held against salesman
- % Of Margin At Invoice, excl Tax, percentage held against salesman
- % Of Sale, At Receipt, excl Tax, percentage held against salesman
- % Of Margin, At Receipt, excl Tax, percentage held against salesman
- % Of Sale, At Invoice, excl Tax, percentage held against each Stock Group
- % Of Margin, At Invoice, excl Tax, percentage held against each Stock Group

Fonts, Styles, Text Sizes In The Shopping Basket
We have done some extensive Look'n'Feel upgrades to our powerful Shopping Basket system. What we have done is made a lot more "Style" information available to be set differently per business.
- The Button Font, Font Size and Font Weight are now controllable.
- The Text Font, Font Size and Font Weight are now controllable.
- The Table Font, Font Size and Font Weight are now controllable.
If you are running our Shopping basket on your website please discuss with Darron (or your eAccounts representative) if you want to make changes to these parameters.
Price Levels shown when displaying Invoices
When viewing updated invoices onscreen in: Customer Enquiry, Reprint Batch or Invoice History, eAcccounts now shows against each invoice line the Price Level that each product was sold for.
The column is titled 'P/L' and the number in brackets, immediately after it, represents that customer's normal price level.
Then against each product on the invoice it shows the price level where;
- 1 thru to 8 represents the price levels 1 to 8
- 0 represents Cost
- -0 represents the product was sold below cost
- S represents sold on special.
- 1+ Represents the product was sold at a price greater than Retail
- 2-3 Would represent that the price was sold at a price between level 2 and 3
This makes it much easier of those of you who carefully check each invoice your staff do daily to ensure that staff are not undercharging.
Zero balance invoices
If an Invoice batch contains invoices with a zero sell value we now highlight this when displaying the Invoice batches under Reprint Batches. This helps highlight problems you may have as there are very few valid reasons for an invoice to be updated at zero value.
Fly Buys
For those of you using our powerful Shopping basket technology, eAccounts now supports the ability of keying in and saving of FLY BUYS loyalty card numbers for reporting to Fly Buys. There is no reason why the setup cannot be used for any other scheme (ie AA rewards etc) should you belong to another loyalty scheme.
Back Orders in eAccounts
For some time now eAccounts has allowed backorders to be loaded through our ePos (Point Of Sale) system. This was then reported and processed through eAccounts. We now have the ability to load Backorders directly into the eAccounts "Raise Order" system. To turn this on you will need to specify the groups that you wish to allow back orders for under "Maintain Stock Groups"
Please note the backorder field never shows when a customer raises an order over the Internet, only when staff raise an order.
