Changes to Handling Stock Margin Grids
Previously we had an option under Maintain Stock Groups to force all stock within that groups to be forced to have a default Margin Grid loaded against them. This was fine until you wanted to set a single stock item within a group to be different. The rules have now been changed so that if the individual stock item is set to Manual the Default Margin Set under Maintain Groups now no longer overrides this.
Unmatched Debtor Transactions
Many customers have Debtor transactions on debtors statements that end up being unmatched. The UnMatched Transactions report (Debtors Reports Menu) has now been improved to highlight better all transactions that need attention.
Please periodically (monthly) check this report for debtors accounts that you can tidy up.
Please note there is a help topic on this and some instructions on how to correct (Search for the word “Unmatched”)
Also note this irrelevant for anyone using Balance Forward accounting rules.
Searching Drawer
A new feature in the Customer Enquiry screen is to be able find a customer payment based on the Drawer Name on the Cheque. Particularly with cash sales you need to find an invoice based, maybe for credit but you cannot find it. If you know part of the Drawer name you can now search or references based on that.
On the Customer Enquiry screen you will see a tick box under the search box.
Please note this only works on receipts after 25th Sept 2005
Quotes In History
We are in the process of doing some big changes to how Quotes are stored and recovered. Some customers insist on keeping Quotes for ages (Many months instead of a few days) This causes our current “working Files” of Customer orders to get overloaded.
We have now set up a separate database that will “Offload” these quotes after X days into a separate quotes database. You can then search for these quotes and then return them to the main working file again using options under Raise Order and on the Customer enquiry screen.
Tab Delimited Input
Particularly in the Stock system, but now added to Customer Orders & GL Transaction entry we have the ability to import data in BULK “cut n pasted” from Word or Notepad in CSV format. If you had an excel spreadsheet and wanted to do the same you had to export as CSV to a text file, then open under Notepad then “Cut n Paste” into eAccounts.
We are now happy to announce that we can bypass all of this if you have an Excel spreadsheet (most common source of import data)
eAccounts will now support the importing of this data in “Tab Delimited” format directly. This means no resaving of the Excel document in CSV format then reopening in Notepad etc, you just Cut n Paste directly from an excel spreadsheet.

Importing Customer Orders
A new feature in the eAccounts Sales Order system is the ability to import transaction lines into a Sales Order from a Word, Notepad or Excel directly.
This is useful if :
You have a customer who has emailed you a list (excel) of the products they want or you are asked to quote on a list of products.
When using the Bulk load option it can be in either CSV or Tab Delimited format.
The product codes being imported can be either Your Product Codes or Your Suppliers or those of a QS.
To use this option click on the button that says “Bulk Load” which is on the screen where you load the products onto a Customer Order.

Bulk Load GL Transactions
Sometimes you may have a significant number of Journals that you wish to do, these can now be manipulated and setup in Excel and downloaded into a GL Batch directly.

~ for Blank Line
A number of clients are now producing some really impressive looking quotes directly in eAccounts usually printing onto Letterhead. We have had to admit we have been a little inconsistent here when it comes to paragraph spaces. We have now standardized on the “~” symbol for representing a spaceline.
You can enter a “~” on any description line and the printed and emailed Quotes (and/or invoices) will show a blank line.
