SSL Certificates

Customers running shopping baskets have been asking for a stronger encryption key for use with their using shopping baskets.  As a matter of policy, eAccounts will now charge $150 per year to all customers using the 'shopping basket module' to help offset the cost of the new SSL certificates we are being requested to supply.

 

EFTPOS intergration

The EFTPOS integration with our ePos Point Of Sale software is now complete and awaiting certification from the Banks. This will allow seamless transaction processing for our clients who are doing lots of counter based EFTPOS sales.

 

Website linking from eAccounts main menu

If your business has a website, your eAccounts Main Menu can now be configured to show a link at the bottom of the page so that you and your staff can open the website up from our menu.

 

Stocktake summary in 'Group/Code' order

When creating Stocktakes, you can now select the order you wish the Stocktake forms print out in. This is also controls the layout for the 'Final Variation and Update' report. We have no introduced an option so that the report can be either printed in the original Stock Take Sheet order or in Group Code order. This allows you to create the Stocktake sheets in say Bin order but get the final Variation report off in a more sensible Group/Code order.

 

Master Group codes

Under Maintain Debtor Groups you can link Groups to a Master Group Code. Shortly we will be able to run off the Group Sales reporting with subtotals (against each Master Group)

 

Customer Specials rules

Customer Special Pricing has been enhanced to give you the option to toggle a fixed price customer special to either:

  1. Take the lower of this price or their current price level price
  2. Or Always the “Special Price”

Previously it was impossible to load a customer Special price that was deliberately higher than the normal price level that customer was on.

Believe it or not there are eAccounts clients that want to charge their customer deliberately more than “List Price” for some products !

 

Quantities on products in Customer Enquiry

On the Customer Enquiry Screen when you drill down on “Product Sales” the system now shows Qty's PTD & YTD as well as $ Sell values. Screen reports now also total the columns (previously they didn't).

 

Loading Specials via XLS (MS-Excel spreadsheets)

You can now load customer specials in bulk, directly from a XLS Spreadsheet. This feature is under “Maintain Customer Specials” and explains the file format and the fields required for setting up the spreadsheet.

 

Supplier Orders now confirmed

When you raise an order to your suppliers and send the order by email or Fax, eAccounts will now record this against the order. Other details now recorded are; Status i.e. OK or Failed, Email Address Wrong or Failed and No Paper In Fax Machine. Please note the system will ALWAYS email the person who created the Supplier Order with confirmation (Ok or Fail) for every order.

 

Receipting Debtors

The order of invoices that are shown on the receipting screen has changed. Previously the invoices were all displayed in numerical Invoice order. This has now changed to be [Period+Invoice] order. This has changed because we now have a number of clients who have multiple invoice sequences running (ePos and Shopping Baskets are two common sequences) and it makes it easier to auto-allocate monies in order of the oldest month they were created.

 

Multi currency General Ledger

The Maintain Companies and Maintain GL Branches in the General Ledger can now have a currency loaded against them, different from the country you are in. This allows you to do seamless consolidated reporting for your Cayman Island Head Office between your New Zealand, Australian and USA branches!

 

Invoice search in Customer Enquiry

When in Customer Enquiry and you are looking for an order that has not been updated, you can enter now enter a name or part of the delivery address and it will find you the customer order.

For instance type “Wallace” will find you an order going to 34 Wallace Terrace, and entering the search word “Corbett” would find you an order (Cash Sale) going to Mrs Jane Harris-Corbett Smith!

The search facilities discussed above have also been replicated in the “Raise Order” program when looking up Unfinished Orders.

When displaying Cash Sales / Unfinished Orders the system now shows you the name loaded in the delivery address.

 

Changing 'due date' on a Creditors Batch

Occasionally, when Creditor batches are posted to the wrong GL period, they are fairly easy to correct. But if the batch is loaded with entries which have the wrong 'Due Date', there was no method to correct this. Now there is a utility under Creditors called “Change Batch Period” that allows you to change not only the GL Period this batch was for but also the due date i.e. allows you to change due dates from 20/05/2005 to 20/06/2005.

 

Bulk purchase cost pricing

In the stock master it is now possible to have two Purchase Cost Prices. The second one is a “Bulk Rate” and allows you to set the Bulk Qty.  i.e. we buy Cement @ $3 per bag but if we buy 100 or more the price is $2.50. When staff order stock it is now a “No Brainer” as the computer automatically selects the correct price to raise on a supplier order.

 

Supplier specials

As you are aware our system is very strong on allowing the loading of monthly specials for your customers. We have introduced the ability to load the same type of specials from your suppliers.

Under “Pending Cost & Specials” in the stock system, you can load in pending purchase costs with a Start Date and now an optional Expiry date.  If the Expiry date is entered, the system will load the new purchase cost on the Start date (as it always did) and then if there is an expiry date it will revert it back when the expiry date is reached.

As an extra feature you can load these from an XLS Spreadsheet provided by your supplier!
