Network Redundancy

As part of our continued drive towards 'zero down time', we have connected our servers to a second Border Router which is configured in a “Hot Standby Mode”. If the main router handling the traffic to the data center ever fails, we will remain connected to the net via a standby system.

Slowly, we are eliminating every possible 'Weak Link' between our servers and the 'Main Pipe' of the internet. Yes, these border routers are not cheap, fortunately we are able to lease time on them through our data center. While we are charged extra for this service, we will not be passing these extra charges to you, our valued customers!

 

Managing your Exchange Rates

Against each exchange rate we can now record the date they were last changed. Twice weekly those of you using exchange rates (other than local currency) have the rates sent to you for confirmation that they are valid. By having the 'last date updated' reported, you are easily able to confirm the currencies are all ok.

 

Forcing an Order Reference

Some clients may insist that all orders have a reference number, so they can manage their invoices with your company better. There are now two ways to do this:

  1. Against the Customer Profile you can specify that all the clients in this profile must have a reference.
  2. Secondly (New) you can enter *** (three asterisk) in the Default Customer Order Reference field.

 

Email Addresses against Creditor

Because a lot of our customers email their remittances to their creditors when raising payments through our creditors system, eAccounts now displays under “Maintain Creditors” those creditors who do not have an email address, and whether they are configured to email the Remittance Payments to your creditor.

If you don't use this powerful tool, it is highly recommended that you do, because:

  1. Stops Creditors ringing and saying where is my payment? (Because they don't look at their bank account)
  2. Stops Creditors ringing and saying what invoices did you pay?

 

New Financial Report Options

GROUPT, ACCOUNTT, CANCEL ROUND

Our awesome Financial Report writer (used in the GL for creating Profit & Loss and Balance sheets etc) has several new functions.

CANCEL ROUND This function toggles off the rounding function. Previously the ROUND instruction would starts the rest of the report Rounding the figures but gave you no option to un-round data half way through a report.

GROUPT & ACCOUNTT functions, these are the same as standard GROUP & ACCOUNT functions except they show the totals only and not all the accounts in the range.

These new functions are ideal for creating summary reports.

 

Adding Items To A Stocktake

Our Stocktake system in eAccounts now allows you to add items, outside the groups, included in the original Stocktake Set.

 

Marking Balance As Counted In Stocktake

Our Stocktake system in eAccounts now allows you to mark all stock not stocktaked - as counted, even though you have not necessarily viewed the page. Previously, you would have had to scan through each page of the stocktake and mark each page as read (This filled in the qty's as zero). Now there is a button on the menu which does this.

 

External URL's, Jump To Pages & Images on Shopping Basket Pages

For those of you using our powerful shopping basket, we have added a few more features.

Under 'Maintain Internet Pages' (Stock Maintenance Menu):

  • You can specify 4 other page codes that will show on the top of each ipage. This gives you the ability quickly link to other related pages. i.e. on the top of the Whiskey's page you may want to have a link to the Brandy's, or on the Water Pumps page a link to the Pumps Gaskets page.
  • Secondly, there is an option to specify a link to any web page, at the top of your ipage. This link can be specified to open the web page in a new window or in the current frame/window (you may need to experiment with this) i.e. on the top of the page of Whiskey's there could be a link to a website on “The History Of Whiskey” or on a page on Marine Life Jackets you could have a link to the New Zealand Maritime Safety Standards website.
  • Thirdly, you can include an image on the top of the ipage. This is useful when all the items are all the same and putting a picture against each item is a waste of space, but you still want a generic picture at the top of the page (Particularly useful for Logos).

 

ePos Now Can Do Stocktakes

You can now load Stocktakes via ePos (Our point of sale system)

How it works:

  1. Define a stocktake first in eAccounts.
  2. Setup the same Stocktake in ePos (Same Stocktake & Area)
  3. Do the stocktake with the Barcode Scanner and/or manually key in the product codes.
  4. Update the stocktake to eAccounts
  5. Print and Confirm Stocktake in eAccounts.

We have long cables available, so that you can use a BarCode scanner up to 50meters from your POS terminals (One person Scans and calls out the qty, another keys in the qty at the terminal)

Alternatively we have long network cables so you can put a laptop on a trolley to wheel down the aisle.

Note : You will have to ask your eAccounts representative to turn this feature on within your ePos setup should you choose to use it.
