Newsletter 121 - 5th May 2004

 
The last 8 weeks since the last newsletter have been as unusual, very busy. Its hard justifying what we have done when there has been so many small incremental improvements. Lots of small changes never get documented, these mainly are small additions to reports or the extra field added most of which are self explanatory.


GL End Of Year Procedures

For those of you who have not spotted the new options in the GL you will notice that eAccounts now automates the process of transferring closing balances from one year to the new year.

  1. You will need to ensure that you have a Appropriation account defined – this must be a balance sheet account and should sit under the Capital Accounts group.
  2. Against each GL Branch you then load that Appropriation account into the field called Appropriation.
  3. Under Transactions you will see there is a new option to generate the Opening Entries. What this process does is load into the new financial year an entry for each balance sheet GL Account and then sums all P&L accounts together and places their total into the Appropriation account.

 

New Look Menu

You probably have all noticed the new look menu, some have said they like it, some say they hate it. I don’t think we will ever win. The reason for the change is to make the site more professional looking as well as giving some uniformity to the location and placement of the buttons on the screen. They also load faster.

 

Stock/Creditor Integration

A lot of work has been done to fully integrate the Stock with the Creditors. As stated in previous newsletters you can receive a packing slip into the system and have the system update stock on hand and then separately allow you to update the costs when the invoice comes in. There are several advantages of doing this :

Notes :

  1. This is applicable to companies that receive packing slips separately from the invoices from their suppliers.
  2. The system tracks and manages all packing slips that have been received but not invoiced.
  3. The system shows on the Statistics screen the value of goods received but not invoiced. This is needed for GL purposes as we have received the goods into stock but have not accounted for them in the GL (Until we have a Tax Invoice)

 

Stock Manufacturing

We are currently finalizing out Manufacturing module options in eAccounts, these allow for any company that manufactures goods.

  1. Allows you to define a series of raw materials that make up a finished product.
  2. Allows you to specify the number of each of these items you have manufactured and the system will then automatically load these into stock and simultaneously reduce the stock on hand of all the raw materials that were used.
  3. The system also provides for the loading of a manufacturing batch in advance, have the system calculate the required raw materials that will need to be ordered and then order those items from your suppliers!

 

ePos

For those of using our ePos System (Point Of Sale) a big update is also being rolled out over the next 10 days. The following improvements are included :

  1. Faster shifting of entries within an order (for the people doing quotes)
  2. Ability to handle Selected Lengths (For the timber sales)
  3. Ability to lookup a debtors or stock without starting an order.
  4. Ability to handle Backorders and Lay-bys

Ability to force the Sale to a Salesperson independent of the person loading the sale or held against the Debtor Master.


Away

Finally I am away for the next two weeks on my first proper holiday in five years (back 20th May).
